Sworn, Certified, and Notarized Translations: What Is the Difference?
In some countries, translations for official purposes require notarization, such as notarization of the translator’s signature. In Poland, a similar role is served by a translation certified by a sworn translator, commonly called a sworn translation. These are, however, different methods of document authentication. If a foreign institution requires a “notarized translation,” please confirm before ordering whether it will accept a Polish sworn translation and whether any additional certifications are needed. You can also send us the exact wording of the requirement, and we will help you determine the scope of the service.
Bilingual Documents
Documents from countries where Russian is or was used in public administration may contain text in Russian and another language, such as Ukrainian, Belarusian, Kazakh, or Uzbek. The second language may appear throughout the document or only in stamps, annotations, or selected fields.
Depending on the content and the recipient’s requirements, we therefore translate from one or two languages.
Spelling of Names: Consistency with Passports and Previous Translations
Before we begin, we ask you to confirm the Latin-alphabet spelling of relevant names, such as those of the document holder, their relatives, or the parties to a contract.
If you have a passport showing this spelling or previous translations, please provide the relevant information when placing your order. This helps us maintain consistent spelling and reduce discrepancies that might require clarification with the receiving authority.
How to Order a Sworn Translation from Russian
- Send clear scans or photos of the complete documents.
- Specify the translation direction, the intended use of the documents, and your preferred completion date.
- Provide information about the spelling of names and the recipient’s requirements.
- Approve the quote, completion date, and agreed translation format.
- Collect your completed translation in person or arrange delivery.
Do You Need to Provide the Original?
For a printed translation to be certified as a true translation of the original, the translator must inspect the original document. You can leave it at our office, present it when collecting your translation, or send it by courier.
If you do not have the original, we can still prepare a translation, stating that it was made from a scan or copy. Before ordering, however, please check that this meets the receiving institution’s requirements.
Translation Format, Collection, and Delivery
We offer printed translations and electronic versions bearing the translator’s qualified electronic signature.
You can collect your completed translations in person in Warsaw or choose delivery. We offer free delivery throughout Poland via InPost. International delivery is available at an additional charge through a courier service agreed with you.
How Much Does a Russian Sworn Translation Cost?
The price depends on the volume and type of documents, the subject matter, and the turnaround option selected. We therefore provide an individual quote for each order after reviewing the documents.
Pricing is based on the number of standard billing pages, rather than A4 sheets. One standard billing page of a sworn translation consists of 1,125 characters, including spaces.
Use our translation price calculator to check the approximate cost, or send us your documents for an exact quote.
How Long Does a Sworn Translation from or into Russian Take?
We generally offer four turnaround options:
| Service | Typical Turnaround Time |
| Super Express | 1 business day |
| Express | 2-3 business days |
| Priority | 3-4 business days |
| Standard | 5-7 business days |
Longer documents require more time. We confirm the exact turnaround time after reviewing the material. If you choose courier delivery, please allow additional time for shipping.
Russian Sworn Interpreting Services
We arrange for sworn interpreters to attend notarial procedures, administrative appointments, and other proceedings requiring their services. Contact us with the location, date, and type of appointment to check the availability of an interpreter.
Criminal Record Certificates, Apostilles, and Translations: Comprehensive Support
Our agency can combine translation services with obtaining a criminal record certificate from Poland’s National Criminal Register (KRK) and help with obtaining an apostille for Polish documents. We also assist clients living abroad. The necessary steps depend on the document, the destination country, and the receiving institution’s requirements.
